Refresher Training (Organisations with Bespoke Training Licences)
Refresher courses are a condensed version of the original courses. These courses often include updated content to reflect new statutory guidance or legislative changes.
Refresher training courses are offered when customers have purchased a bespoke training licence. Organisations often ask their users to take refresher courses at more regular intervals, usually annually and before the official certificate expiry date of the course. This has to be manually set. At the point of refresher training, users are normally given the option to retake the full updated course or take the shorter updated refresher version.
When this has been set up for an organisation, a date will appear in the Refresh On column in the user list on the Manage Training screen. This indicates when the next refresher training has been set for. A black circular two-arrow symbol in the certificate column will appear when a user has taken the refresher version of the course.
Setting a Date for Users to take Refresher Courses
- On the Manage Training page, in the View drop-down box select View users who have passed the course (by date).
- In the list of users, tick the checkbox in the first column (before First Name) for the users who need to take the refresher course.
- From the More Actions drop-down box, select Set the Refresh date for selected users.
- Click the Go button.
- Enter the refresh start date. As a guideline, this is often set one year after the user completes the original course.
- A date will then be recorded in the Refresher On column and the training will be reset for the selected users so they can retake it.
Refresher Reminders
Some organisation's purchase credits for their users to retake their training more regularly or have a bespoke training licence. To enable these refresher reminders, the Training Refresher invite/reminders option can be turned on. This is disabled as standard.
- On the Manage Training tab, click on the Reminders button.
- On the Training Reminders page, in the Reminders type drop-down box, select Training refresher - initial invite, you can also configure two further training refresher reminders.
- Change the Schedule for drop-down box to 1 hour after enabling or 1 year after passing.
- For each email you can amend the send from contact, subject line and the email message text.
- Click the Save button if you make any changes.
- If you selected 1 year after passing, users will automatically receive a reminder email to retake the training one year after they last passed the course, if the training refreshers have been enabled.
- If you selected 1 hour after enabling, you will need to manually select which users should be invited to retake the course.
- In the list of users, tick the checkbox in the first column (before First Name) for the users who need to take the refresher course.
- From the More Actions drop-down box, select Enable the selected users to take a course refresher.
- Click the Go button.
- Now the Started On date in the user table column on the Manage Training page will turn yellow to indicate they have been enabled for refresher training and after an hour, they will then receive an invite email to retake the training.
If you make a mistake, you can use the same process from the More Actions drop-down box and choose the Remove the course refresher for the selected users to stop the invite email being sent and then click the Go button.
You will notice a "1" in a yellow circle appears in a column in the user table on the Manage Training screen, this indicates that an automatic course refresher invite has been sent, followed by a "2" if a second automatic reminder is sent and so on. Hover over the number icons for more information.
